The Future of Australian Events: How to Prepare Post COVID-19

Now that events of up to 100 people are now realistically possible (pat yourself on the back, WA!), we’re off polishing the glassware and checking out the hottest new venues in town. If you had a fully prepped event and were primed to hit that execute button three long months ago, here are some essential steps to ensure you are all set when you get the go-ahead – because people are going to want to party, network, learn and socialise as soon as they can! Read on for your ultimate priority list.

Lock in Your Date

The Australian Government’s ban on venues hosting over a 100-person capacity has finally been lifted in WA! Despite this, it is still wise to push your event as late back in the year as possible, or until 2021 to follow social distancing protocols still in place. You will need to secure a date to rearrange all your event essentials and suppliers. Confirm the date and season will still match your event objectives and theme. Stay on-brand.

Secure Your Venue

Many events originally scheduled later in the year were not cancelled, so numerous venues are already booked out for that time. If your venue of choice is unavailable for your new date, begin sourcing similar options and weigh up what’s essential for the event. Ensure the venue meets all your requirements before panic-booking but remember it’s vital to book a venue sooner rather than later to ensure you have plenty of time to plan, prepare and execute the perfect event.

Get Your Suppliers on Board

Communication is key. Communicate with your locked-in suppliers about the changes you are making including date, location and times. Ensure the current booking with your suppliers is transferrable and familiarise yourself with their terms and conditions. Event suppliers are being hit hard, so take some time to talk with each supplier about how they are, their personal future, and your event. Understand that unfortunately, some businesses have had to shut their doors and you will need to come to an agreement on an individual basis. We strongly suggest supporting your local suppliers and vendors at this time.

Inform your guests

No doubt this will be some of the best news they’ve heard all year! Once you’ve taken the above steps, go forth and send them an updated invite – the good times are back!
